Corporate Services Manager

JOB OVERVIEW:

The Corporate Services Manager will be responsible for overseeing and coordinating various corporate and support functions, ensuring seamless operations and compliance with company standards and regulatory requirements. The Corporate Services Manager will be responsible for managing the core administrative and operational support functions for Our Client, as well as for facilitating communication, and providing support to senior management.

KEY DELIVERABLES

  • Administrative Management & Office Management:
    • Oversee day-to-day administrative tasks and office operations
    • Ensure proper documentation, filing systems, and administrative efficiency
    • Support logistics for meetings, travel, and company events
    • Facilities Management: Oversee maintenance, upkeep, and utilization of company facilities.
    • Provide administrative support to the Country Manager
  • Compliance:
    • Ensure compliance with Kenyan regulatory requirements, laws, and company policies.
  • Human Resource & Payroll:
    • Manage HR administration including contracts, leave, benefits, and personnel records
    • Oversee monthly payroll processing in collaboration with finance
    • Support line managers in performance management and employee relations
    • Ensure compliance with Kenyan labour laws and HR policies
    • Coordinate training and capacity-building initiatives
    • Develop and implement HR policies and procedures
    • Manage end-to-end recruitment processes for staff and casual workers with the support from the clients Uganda HR team and The Manpower Company
    • Coordinate onboarding and induction programmes for new employees
    • Maintain a candidate database and support talent acquisition efforts
  • Procurement & Contract Management:
    • Coordinate procurement activities in line with company policy and budget
    • Manage supplier relationships and contracts
    • Maintain accurate procurement records and support audit processes
    • Ensure transparency and value for money in sourcing activities
    • Develop and implement procurement policies and procedures.
  • HSES & Quality:
    • Implement HSES policies and ensure workplace compliance with safety standards with the support of the clients Uganda HSES team
    • Conduct regular HSE awareness and inspections in coordination with site teams
    • Support the company’s quality assurance efforts, including SOPs and audits
    • Lead incident reporting, investigations, and follow-ups
    • Develop and implement quality management systems
  • Internal Communication & Culture:
    • Foster a positive work environment and company culture
    • Support the promotion of company values, culture, and diversity initiatives
    • Coordinate internal events, announcements, and campaigns
    • Facilitate effective communication between departments and senior management.
  • Project Management: Manage corporate projects, ensuring timely completion and budget adherence.
  • Policy Development: Develop, implement, and review company policies and procedures.

REQUIRED SKILLS, TRAINING & EXPERIENCE

  1. Bachelor’s degree in business administration or related field.
  2. At least 5 year’s of proven experience in a similar corporate services or HR/admin management role.
  3. Experience in a fast-growing or operational environment (agribusiness, FMCG, or manufacturing an advantage).
  4. Strong organizational, multitasking and project management skills.
  5. Excellent communication and interpersonal skills.
  6. Ability to maintain confidentiality and handle sensitive information.
  7. Familiarity with Kenyan regulations, labour laws, HSE standards and corporate governance.
  8. Proficiency in MS Office and HR/payroll systems
