Distribution Supervisor

JOB OVERVIEW

This position will be responsible for ensuring efficiency in sales operations through overseeing and optimization of Distribution Operations and ensuring all products ordered by the customers are delivered efficiently on time, in full and error free while optimizing the use of company vehicles and hired transport in delivery.

  1. Number of trucks managed: Approximately 85 trucks, 15 company owned trucks and 70 3rd party owned trucks.
  2. Customer Orders: 6,000 MT
  3. Interplant/intercompany Transfers: 2,000 MT.
  4. No of Sites: 1.
  5. Employee Supervised: 17.

KEY DELIVERABLES

Customer Relationship Management

  1. Work closely with the sales team on customer requirements and coordinate the operation team on product availability.
  2. Coordinate with Customer Service Representative, Sales Team on customer orders for delivery schedules and timely delivery.
  3. Plan for and accomplish delivery of customers’ orders effectively within set timelines, in liaison with Customer Service Executives and Sales Representatives.
  4. Coordinating logistics for market returns from trade to enhance good trade relations while preventing undue loss to the company.
  5. Coordinating customer orders for special products and cross-border shipments, ensuring flow of information and goods.
  6. Public relations/ customer service; attending to enquiries, sales and complaints from walk-in customers at the plant
  7. Overall process ownership for Proof of Delivery (POD) to prevent loss of revenue.

Fleet Management

  1. Ensure timely and effective maintenance of company trucks to minimum downtime /& minimize distribution disruption.
  2. Enforce adherence to the maintenance schedules and trucks roadworthiness by third party transporters – maintain  close relations with contract transporters
  3. Manage the availability of both company and contracted vehicles to meet the delivery requirements for all customer orders.
  4. Implement and achieve agreed performance targets  and efficiencies for both company and contracted fleet – Truck capacity utilization, fuel consumption, repair and maintenance

Logistic Management

  1. Develop and implement distribution strategies to optimize the flow of goods and manage the distribution costs.
  2. Coordinate logistics for interplant transfer and stock allocation daily to ensure balance in stock availability for plants.
  3. Avail trucks and plan for by-products logistics in liaison with the Warehouse team – Ensure operations are not interrupted by less than optimal utilization of byproduct store.

Compliance

  1. Ensure compliance with County Distribution Licenses in ALL the Counties that fall within the scope of delivery
  2. Work closely with the operations team to ensure all the products being distributed meet statutory requirements  and regulatory requirement – product and permit compliance.
  3. Enforce road discipline and adherence to the rules by the distribution assistant.
  4. Ensure all distribution trucks are road worthy and inspection and insurance compliant.

People Management & Employee Capacity Building

  1. Develop, motivate and direct staff in the department for excellent delivery service
  2. Conduct monthly distribution team performance reviews.
  3. Offer coaching and mentoring to develop employees.
  4. Regularly conduct face to face sessions and ensure timely closure of identified action.
  5. Prepare and implement employee personal development plans in liaison with the HRBP.
  6. Train and review employees’ skill levels and timely address skill gaps through TWI

Safety Health and Environment,  Food Safety & ERM

  1. Drive and actively participate in 6K, CI, SHE, FSMS, GMP, & ERM activities and initiatives at the department.
  2. Identify and report all quality, food safety , SHE & ERM issues during daily operations for actions.

  9. 3rd Party Transporter performance.
 

REQUIRED SKILLS, TRAINING & EXPERIENCE

  1. Bachelor’s degree in business-related discipline, supply chain management, Logistics Management, Procurement or Related Field.
  2. Minimum five (5) years’ experience in Warehouse, fleet operations and logistics management with at least 3 years supervisory/ managerial level.
  3. Computer proficiency especially with Microsoft Excel.
  4. Good presentation skills, administrative writing and reporting skills.
  5. Strong working knowledge of warehouse operations, Logistic and Distribution Management.
  6. Experience in working with ERP is an added advantage.
